One of the biggest benefits of Microsoft Access is its Windows-based interface that allows users to design queries without an extensive knowledge of Structured Query Language (SQL), the programming language created in the early 1970s to collect information from databases. Access has been improved over earlier versions of the database software by allowing users to print query details without having to cut-and-paste query language into word processing documents, then print. Using the Database Documenter tool, users can now print reports showing the query properties, language and relevant column attributes.

Open the query. Select the "Database Tools" tab at the top of the screen.
Click on the "Database Documenter" option in the middle of the top tab.
Select the query you want printed by checking the appropriate box. Click on "Yes" when Access tells you to close the query.
Click on the "Print" icon in the upper right-hand side of the screen.

Run your query. Save it.
Click on the "Design View" icon in the upper left-hand corner of the screen. Use the pull-down menu to select the "SQL View" option.
Copy the SQL language shown in the window, then paste it to a word processing file. Print it.

Tips and warnings
- When you print an entire query, be sure that you won't be getting hundreds of pages of results. It's sometimes better to select "Print Preview," then choose a range of pages to print; say, the first 10 or 20 pages.
