How to Address Employees With Inappropriate Clothing

Most places of business have dress standards for employees. A dress code is usually detailed in an employee handbook, given to the employee at the time of hire. However, occasionally an employee will arrive to work in an outfit that can be deemed inappropriate, and enforcement of the dress code can sometimes be a touchy subject. There are some basic tips available to help you when it comes to this issue.

    Explain that the issue with the employee's clothing is not personal. It is important that your action is not misconceived as a personal judgment. When confronting the employee, assure the employee that the issue is not a personal one, and that you are simply following protocol.

    Be specific and avoid generalizations. Tell the employee exactly how the dress code policy is being violated, and have a handbook ready so the employee may read the policy directly. Do not simply say that an outfit or item of clothing is inappropriate, explain why it is unacceptable. If it is against the dress code to wear sandals to work, and an employee is donning flip-flops, do not simply tell the employee that his outfit is a problem. Instead, explain that sandals are not allowed in the workplace, and flip-flops are considered a form of sandal.

    Enforce the dress code consistently across the board. Make sure employees know the consequences of breaking the dress code, and stick to those consequences. Exceptions should not be made based on any factors, including sex.

    Use only the facts when speaking with an employee about the issue. Do not incorporate any personal views or stories, simply explain the problem and how it can be fixed. The focus of the conversation should never seem judgmental.

    Speak to the employee privately. The enforcement of dress code can be a touchy subject. Dealing with the issue privately will save the employee from potential embarrassment.

    Seek the employee's input after speaking with him and assure the employee that his opinion is valued. An employee will sometimes question the dress code being enforced, or have an issue with it. Be prepared for this, and point out the specific policy, if available.

Tips and warnings

  • Employees who play a part in the development of office policy are more likely to follow the policy. Consider allowing employees to contribute to the dress code.
  • Be certain that the policy being enforced is an actual policy. If it isn't, be prepared to explain why it isn't written already and immediately inform other employees of the change.
