A busy household that is composed of a lot of people may have any number of insurance policies, magazine subscriptions and other extraneous services. When it comes time for budget spring cleaning, heads of such households may find it useful to have a cancellation letter template all ready to fill in and send to the companies whose services are no longer required. Since a cancellation letter is technically business correspondence, a specific structure and a modicum of linguistic formality is required.

  1. 1

Type the date at the top of the page. Leave one line blank underneath that, then type "Cancellation Department." Underneath that, type the name and mailing address of the company.

  2. 2

Leave one line blank, then type "Re: Service Cancellation." Replace the word "Service" with the type of account that is being cancelled. Type your name and policy or customer number on the next line.

  3. 3

Skip one line. Write one paragraph that explains your reason for requesting a cancellation of the service. For example, "Please cancel my account, effective immediately. I am no longer in need of your services. You are no longer authorised to access my bank account for payment for this account."

  4. 4

Write another paragraph that requests a confirmation letter. For example, "Please send written confirmation of this cancellation, as well as a refund of the unused portion of my already-paid bill, to the address below as soon as possible."

  5. 5

Conclude the cancellation request with, "Thank you for resolving this matter in a timely fashion."

  6. 6

Write "Sincerely," or another businesslike signoff, and leave several lines blank for a signature. Type your name and mailing address.

  7. 7

Replace the words as necessary to use your template to cancel other accounts, policies or services.
