How to Enable Announcements in Avaya Definity

Avaya announcements give callers helpful information as they navigate through call processing applications. An Avaya TN2502AP board is required to record and play the announcements. Access to the phone switch cabinets is required to install the board. Call vectoring software permissions must be included in the Avaya Call Manager software. Consult an Avaya business partner to verify you have all the needed hardware and software to set up announcements in your phone system.

    Open the door of the gateway or cabinet where you want to install the announcement board. Locate an empty slot to install the blade and make a note of it. Locate the metal retaining clip holding the seating lever on the upper front area of the TN2501AP announcement board. Push down the clip and pull the lever upward. Carefully place the blade into the upper and lower guides and push it in until you feel contact. Push the lever down to seat the board into place. Close and secure the cabinet door.

    Launch the Avaya site administration software application. Log in with your username and password. Click on the "System" tab and select "General." Click on "Start GEDI."

    Click in the action bar located at the upper left of your screen. Type "list configuration carrier," followed by the location where the board was installed. Verify that the system recognises the slot and displays the correct board information.

    Assign extensions to each announcement you want to create. Find unused extensions by typing "list extension" in the action bar. Scroll though the entries and find some unused extension numbers. Type "add announcement" followed by the extension you want to assign in the action bar. Click on the announcement name box and enter a description of the announcement for future reference. Click on the announcement type box and enter "integrated." Click on the group/board box and enter the physical location of the TN2501AP board in the standard cabinet-shelf-slot format. Leave the other boxes at the default values. Click on the "Enter" tab at the top of the application or press the "F3" key.

    Record the announcement by dialling the feature access announcement code, followed by the extension number you assigned. Press "1" to begin recording and press "#" when you're done. Press "2" to listen to the recording. Hang up and dial the extension to hear the announcement. Type "display feature-access-codes" in the action bar to find the announcement code. It is located on the upper portion of the first option screen.

    Integrate the announcement into an existing call vector by typing "change vector" followed by the vector number. Click the first box in the step where you want the announcement to play, and type "announcement." Click on the next box and enter the announcement extension. Click on the "Enter" tab or press the "F3" key to save the changes.
