A chart of accounts for a non-profit organisation contains accounts that for-profit organisations do not use. These accounts may not be included in a standard accounting program. The special needs of a non-profit organisation call for customisations specific to non-profit. In just a few steps using the EasyStep Interview, QuickBooks can structure your non-profit organisation's company file to the specifications required for your organisation.

Instructions

    Open QuickBooks. If a company file opens automatically, close it by selecting "File" from the top menu and then "Close Company" to go to the No Company Open dialogue box.

    Click the "Create a New Company" button in the No Company Open dialogue box to open the EasyStep Interview dialogue box.

    Click the "Start Interview" button underneath "Get Started" in the EasyStep Interview dialogue box.

    Enter all the requested information on the Enter Your Company Information page.

    Go to IRS.gov (see Resources) to apply for an employer identification number if you need one. Click the "Next" button when done.

    Scroll through the "Industry" box on the Select Your Industry page of the EasyStep Interview dialogue box and select your industry. Common choices for non-profit organisations are the "Nonprofit" or a "Church or Religious Organization" options. You are not limited to these choices. Review each option to ensure you make the best choice for your organisation. Click the "Next" button when done.

    Click "Nonprofit" in the How Is Your Company Organized? page. Click the "Next" button when done.

    Click the arrow in the "My Fiscal Year Starts In" box to choose the beginning month of your company's financial year on the Select the First Month of Your Fiscal Year page. Click the "Next" button when done.

    Type and retype a password on the Set Up Your Administrator Password page. Click the "Next" button when done.

    Click the "Next" button in the Create Your Company File page to choose a filename and location to save your company file.

    Navigate to the location where you want to store your company file in the Filename for New Company dialogue box. Name the file and click the "Save" button when done.

    Click the "Next" button in the Customizing QuickBooks for Your Business page of the EasyStep Interview dialogue box.

    Continue through the pages of the EasyStep Interview dialogue box by following on-screen instructions. Give the answers that are in the best interest of your company. When you reach the Review Income and Expense Accounts page, go to the next step.

    Review the accounts in the list. Select any accounts listed that apply to your business. Many of the accounts are specialised for non-profit organisations. Click the "Next" button when done.

    Click the "Finish" button on the Congratulations page to close the box. You have created your new non-profit company file in QuickBooks.
