Ubuntu comes with a pre-installed e-mail client called Evolution, which works much like Outlook. You can sync Evolution with your Outlook contacts and the email messages that you have already downloaded to your machine. Because of this synchronisation, you can switch to using Ubuntu without worrying about losing anything in your Outlook set-up. However, syncing your e-mail accounts between Outlook and Evolution may take multiple tries to accomplish correctly.

Look up your e-mail account information in Outlook. You need to know several things: your e-mail address, password, POP3 or IMAP server, SMTP server and authentication types or security and port numbers, if your account uses them.
Export your Outlook contacts. Launch Outlook, click on the "Files" menu and choose the "Import and Export" option. This opens the import/export wizard. Select the option to export a file and push the "Next" button. Choose the "Comma Separated Values (DOS)" or "CSV" type and push "Next." Choose the contacts folder and press "Next." Save the file to an external USB drive and press "Next." Press "Finish" to export your files.
Move your calendar information out of Outlook. Open the import/export wizard under the "File" menu again. Choose the option for exporting a file and push the "Next" button. Tell the wizard to use "Comma Separated Values (DOS)" or "CSV" again and push "Next." Select the calendar folder and press the "Next" button. Save the file to the USB drive and click "Next" and "Finish."
Open Evolution on the machine you are using for your Ubuntu installation. If you are dual-booting Ubuntu on your Windows machine, power the computer down and restart it with Ubuntu.
Select the "Preferences" option from the "Edit" menu in Evolution and add your e-mail account. Put the information for your e-mail account in the appropriate fields and save it. If you choose the check box to leave messages on the server when you check your e-mail on both Outlook and Evolution, you can continue to check your e-mail in Outlook as well.
Open the "File" menu and choose the option to import. This opens Evolution's Import Assistant. Choose importer for a single file and press the "Forward" button. Browse for the contact file's location on the USB drive and choose the "Outlook CSV" file type from the drop-down menu. Press the "Forward" button and import the contacts. Repeat this step with the calendar file.
Tips and warnings
- If you are using Gmail for your e-mail, you can sync your e-mail, calendar and contacts using the available option in Evolution with Gmail and can bypass the steps above.
