Databases can be used for a number of different purposes, from building a Christmas card list for your friends and family to creating a detailed list of products, prices and supplies. A database application is also the perfect solution for a company that needs to create and monitor a maintenance plan for its fleet of vehicles. The tables in the database can be used to store information on every vehicle in the fleet, while data entry forms can be used to enter new data on each of those fleet vehicles.

    Gather all of your vehicle information. You will need this information to build the database table and to create the data entry form.

    Open the database program and click on the "File" menu. Choose "New" from the list. Give the database a descriptive name like "Vehicle Fleet Record."

    Click on the "Table" tab and choose "Create table in design view." The design view option provides greater flexibility when building your table.

    Enter the names of the fields to be included in the truck maintenance database. Some of the fields a typical fleet database should contain include: VIN number, make, model, year, mileage, date of last oil change, date new tires were purchased, and date of last maintenance inspection. You may have other fields you want to track, including scheduled maintenance.The fleet truck database should also include a notes field. This free form text field can be used to enter additional information about each vehicle in the fleet.

    Close and save the table. Give the table a distinctive name like "Fleet Trucks."

    Click on the "Forms" tab and choose "Create form by using wizard." The wizard option is the easiest and fastest way to create a new data entry form.

    Highlight the table you created in Step 3 and choose the fields you want to include on the data entry form. Click "Next" to continue, then choose an appearance option for the new form. Give the form a descriptive name, then click "Finish" to save and preview your form.

    Take your vehicle records and enter the information into the data entry form. Continue entering the data until information about all trucks in the fleet has been entered into the new database.
