How to Retrieve a Sent Email From Microsoft Outlook Access

A large amount of modern office communication is done via e-mail. While this makes it easier to get quick answers to questions and issues, e-mail communication comes with its own share of problems. It is very easy to accidentally send an e-mail to the wrong person or forget to include an attachment. Just because a message has already been sent doesn't mean that it has to reach the addressee. As long as the email has not yet been opened by the addressee, it is possible to retrieve a sent mail in Microsoft Outlook.

    Click on "Mail" to return to the Outlook mailbox if you are in a different feature of Outlook, such as Calendar. Choose the "Sent Items" option from the left-hand Outlook pane. Outlook displays the messages that you have sent in order from the most recent to the oldest.

    Open the "Actions" menu on the menu toolbar at the top of the screen. Click on the "Recall This Message" option that appears in the menu.

    Choose the "Recall This Message" option from all of the recall options if you simply want to recall the message from every person's Inbox that the message was sent to. If you would like to replace the recalled message with a new message, choose "Delete unread copies and replace with a new message."

    Click "OK." If you selected to just delete the message, Outlook will attempt to recall the messages from all recipients' Inboxes. If you selected to delete and replace, a blank message will come up so that you can create a new message to replace the original message.

    "Send" the replacement e-mail to the recipients. Once Send is clicked, Outlook completes the process of recalling the original e-mail and replacing it with the new e-mail.

Tips and warnings

  • Check the "Tell me if recall succeeds or fails for each recipient" if you want to know which addressees have already opened the email before it could be recalled.
